What is a results manager?
A results manager is a user who has been granted permission to manage all race results stored on the platform. Results managers have full access to the Results section and are responsible for ensuring the accuracy and completeness of race results. Only results managers can:
- Mark a set of results as final
- Create qualifications that link competitors to specific race results
- Update rankings from a set of results
- Update membership data from a set of results
Race organisers have limited access to publish provisional results for their own races. Results managers review, complete and finalise those results, and also manage results for races where entries were not taken through the platform.
Getting access
To access results manager functions you need:
-
A user account on the platform. If you do not already have one, create an account using the Sign up link in the navigation bar.
-
The Results Manager role for your organisation. An organisation administrator must grant you this role. Contact your administrator and ask them to assign the role from the User roles and permissions section of the admin area.
Once the role has been granted, log in and navigate to the Results section in the top navigation.
How results are created
Provisional results published by race organisers
After a race has taken place, the race organiser may publish a provisional set of results directly from their race dashboard. These results are limited in scope — organisers can publish the data they have available but do not have the ability to finalise results or trigger downstream actions such as qualification creation or ranking updates.
Provisional results appear in the Results section and are visible to competitors, but are clearly marked as provisional until a results manager marks them as final.
Creating results manually
Results managers can create a result set for any race, including races for which entries were not taken through the platform. This allows results to be stored and published even when the entry workflow was handled entirely outside the system.
To create a new result set manually:
- Navigate to the Results section.
- Click Add Results (or New Results).
- Select or create the race the results relate to.
- Enter the result data for each competitor.
When no entry data is available in the system, competitors and results must be entered by hand or imported from a file (see Importing final results below).
Reviewing and editing results
To review an existing set of results:
- Navigate to the Results section.
- Click the race name to open the results for that race.
From the results page you can:
- View all competitor results for the race
- Edit individual result rows to correct times, positions or other data
- Add missing competitors or remove duplicate entries
Provisional results submitted by a race organiser should be reviewed for accuracy before being marked as final.
Importing final results
The recommended workflow for finalising a set of results is to import them from a structured file. This ensures accuracy and consistency, particularly for larger races. The import is carried out from the Files section of the race in question.
Preparing the import file
Results can be imported from a Microsoft Excel 2007+ workbook (.xlsx) or a CSV file.
Excel is the recommended format for most imports.
Excel workbooks: each worksheet represents one race class. By default the race class is taken
from the sheet name, which should match the race class code for the race type. You can also use
a flat single-worksheet format by including a Race class column in the data. Sheets whose
name begins with an underscore (_) are ignored and can be used as notes.
CSV files: the Race class column is required on every data row since there are no sheet names.
Each row represents one competitor. For crew events, each crew member has their own row and crew members are linked together by sharing a common race number (Number / Bib column). Rows with no name are skipped automatically.
For a full description of every recognised column, accepted values and formatting rules, see the Entries and Results Import Reference.
Importing the file
- Open the race from your race dashboard or from the Results section.
- Navigate to the Files section of the race.
- Click Upload File and select the prepared Excel workbook or CSV file.
- Once uploaded, click the file name and select Import Results.
- Review the preview — the system shows the data it has read and highlights any rows that contain errors or unrecognised values.
- Correct any errors in the source file, re-upload if necessary, and repeat from step 4.
- When the preview shows no errors, click Confirm Import to apply the results to the race.
After a successful import, the results will be visible in the Results section and can then be marked as final.
Marking results as final
Once you are satisfied that a set of results is accurate and complete, mark them as final. Only results managers can perform this action.
To mark results as final:
- Open the results for the race.
- Click Mark as Final (or equivalent action in the results menu).
- Confirm the action.
Final results are displayed without the “provisional” indicator and can no longer be edited by race organisers. Marking results as final is a prerequisite for creating qualifications and updating rankings from those results.
Note: Marking results as final cannot be automatically reversed. If you need to make corrections after finalising, contact your organisation administrator or edit the result records directly as a results manager.
Creating qualifications from results
A qualification links a competitor to a specific race result and can be used to record that the competitor has met a qualifying standard. Qualifications are visible on the competitor’s profile page.
Only results managers can create qualifications. To create qualifications from a set of results:
- Open the (final) results for the race.
- Click Create Qualifications (or the equivalent option in the results actions menu).
- Review the competitors who are eligible and confirm the qualifications to create.
Qualifications created from results are associated with the result record and the competitor. They can be viewed by team leaders from the competitor details page.
Updating rankings from results
Once results have been finalised, rankings can be updated to reflect the outcomes of the race. This may update competitors’ divisions, handicaps or ranking points depending on how the ranking list is configured.
Only results managers can trigger a ranking update from results. To update rankings:
- Open the final results for the race.
- Click Update Rankings (or the equivalent option in the results actions menu).
- Select the ranking list and season to update.
- Review the proposed changes and confirm.
Tip: Ensure that the relevant ranking list and season are correctly configured before updating rankings from results (see the Competitor Admins Guide for ranking list management).
Updating membership data from results
In some configurations, race results can be used to trigger updates to competitor membership records — for example to record that a competitor has achieved a qualifying result that affects their membership status.
Only results managers can perform this action. To update membership data from results:
- Open the final results for the race.
- Click Update Membership (or the equivalent option in the results actions menu).
- Review the proposed changes and confirm.
Changes applied through this action are reflected immediately on the affected competitors’ profiles.
