Entry Alert Reference

This page lists all alerts and warnings that the system can raise against an entry, together with an explanation of each and the action required to resolve it.

Alerts are grouped by the field they relate to. To view alerts for a race, go to the race entries page and click Entry Alerts.

Name

Alert	Meaning	Action
Name does not match ranking list name	The name on the entry differs from the name on the competitor’s ranking list record.	Check the entry name is correct. If the competitor uses a different name in competition, the ranking record may need to be updated. Contact your organisation administrator.

Class

Alert	Meaning	Action
Outside age range for class	The competitor’s age falls outside the permitted range for the entered age class.	Check the competitor’s date of birth and the class age limits. The race organiser may need to reassign the entry to an appropriate class.
Gender does not match class	The competitor’s gender recorded on their membership does not match the gender implied by the entered class.	Check the class selection and correct if necessary.
Date of birth does not match membership record	The date of birth provided on the entry differs from the date of birth on the membership record.	Verify the competitor’s date of birth against their membership record.
Age class does not match ranking list value	The age class on the entry differs from the age class on the competitor’s ranking list record.	Check and correct the entry class.
Gender class does not match ranking list value	The gender class on the entry differs from the gender class on the competitor’s ranking list record.	Check and correct the entry class.

Club

Alert	Meaning	Action
Club does not match ranking list value	The club on the entry differs from the club on the competitor’s ranking list record.	Verify the competitor’s current club. If they have changed clubs, the ranking record may need to be updated by your organisation administrator.

Division

Alert	Meaning	Action
Division does not match ranking list value	The division on the entry differs from the competitor’s current division on the ranking list.	Check whether the competitor has been promoted or relegated since entering. The race organiser can correct the division on the entry.
Not ranked	The competitor does not appear on the ranking list.	Confirm the competitor is eligible to enter the race. If they should be ranked, contact your organisation administrator.

Entry

Alert	Meaning	Action
Outside age range for race class	The competitor’s age falls outside the age limit for the race class they have entered.	Check the age requirements for the race class. The race organiser may need to move the entry to a different class.
Outside age range for sub-class	The competitor’s age falls outside the age limit for the sub-class within the race class.	Check the sub-class age requirements. The race organiser can reassign the sub-class if appropriate.
Competitor entered in more than one race	The competitor appears in more than one race or event at the same meeting.	Verify whether the double-entry is intentional and permitted.

Membership

Alert	Meaning	Action
Membership type not provided	No membership type has been specified on the entry.	Ask the competitor to confirm their membership type and update the entry.
Membership number not provided	A membership number is required but has not been provided.	Ask the competitor to provide their membership number.
Membership expiry not provided	A membership expiry date is required but has not been provided.	Ask the competitor to provide their membership expiry date.
Membership expired	The competitor’s membership expired before the race date.	The competitor will need to renew their membership before they can participate.
Membership expires before race date	The competitor’s membership is valid now but will expire before the race date.	The competitor should renew their membership before the race.
Name does not match membership name	The name on the entry does not match the name on the membership record.	Confirm the competitor’s name against their membership record and correct the entry if needed.
Membership expiry does not match reference record	The membership expiry date on the entry does not match the expiry date in the reference membership record.	Confirm the correct expiry date against the membership record.
Competitor membership could not be validated	The system was unable to confirm the competitor’s membership from the information provided.	Ask the competitor to confirm their membership details.
Single Event Membership not found	A Single Event Membership reference was provided but could not be matched to a record for this race.	Check that the Single Event Membership reference number is correct.
Name does not match Single Event Membership	The name on the entry does not match the name on the Single Event Membership record.	Check the entry name against the Single Event Membership record.
Membership proof — name needs review	A membership document has been uploaded but the name on the document has not yet been confirmed.	Review the uploaded document and confirm the name.
Membership proof — number needs review	A membership document has been uploaded but the membership number has not yet been confirmed.	Review the uploaded document and confirm the number.
Membership proof — expiry needs review	A membership document has been uploaded but the expiry date has not yet been confirmed.	Review the uploaded document and confirm the expiry date.
Membership proof name does not match entry name	The name on the uploaded membership document does not match the name on the entry.	Review the uploaded document and correct the entry name or document accordingly.
