Race Organisers Guide

This guide is for race organisers — clubs and individuals who create and manage races on the Race Entries platform.

Getting access

Two things must be in place before you can create and manage races:

  1. Your club must have an active subaccount. An organisation administrator must create and activate the subaccount for your club. If you are unsure whether your club has a subaccount, contact your organisation administrator.

  2. Your user account must have the Race Organiser role for that subaccount. A subaccount admin can invite you by email. The invitation email will contain a link to set up your account and the Race Organiser role will be granted automatically when you accept it.

Once access has been granted, log in and select your club from the user drop-down at the top of the page. You will see a Races option in the navigation menu.


Race types

The platform supports several types of races, which are configured by your organisation administrator. The race type determines:

  • Which race classes (categories) are available
  • Which crew types are available for individual entries (e.g. K1, C2) — crew types are selected by the entrant when the order is submitted
  • Whether team entries are supported — teams are separate collections of one or more entries or crew members, submitted independently after the individual entries
  • Whether rankings and divisions are used
  • Export templates used to generate entry files
  • Whether age classes are applied to entry validation

The available race types are defined by your organisation administrator. Contact them if you need a new race type creating.
